Privacy Policy

We're serious about protecting your information - here's exactly how we handle it

Quick Note: Look, we get it - nobody actually enjoys reading privacy policies. But since we're lawyers dealing with sensitive corporate stuff, we figured you'd want to know how we're handling your info. We've tried to keep this straightforward and jargon-free (as much as legally possible, anyway).

When you reach out to us or become a client, we're gonna need some info to actually help you. Here's what we typically collect:

  • Basic Contact Stuff: Name, email, phone number, business address - the usual suspects for getting in touch with you.
  • Business Information: Company details, position, industry type - helps us understand your corporate landscape better.
  • Legal Matter Details: Whatever you share about your legal needs, whether it's IP protection, contracts, M&A stuff, or disputes you're facing.
  • Financial Records: Billing info, payment details, invoicing data - because yeah, we gotta get paid for our work.
  • Documents You Provide: Contracts, corporate records, IP documentation, employment files - basically anything relevant to your case.
  • Website Usage Data: IP addresses, browser type, pages you visit - standard website analytics to improve our service.

We don't collect anything we don't need. If we're asking for it, it's because it's relevant to providing you solid legal counsel.

We're not selling your data to advertisers or doing anything sketchy. Here's the straightforward breakdown of what we use your information for:

Legal Representation

Providing you with competent legal services, preparing documents, analyzing your situation, and advocating for your interests.

Communication

Keeping you updated on your matters, responding to inquiries, scheduling meetings, and maintaining that attorney-client relationship.

Billing & Payments

Processing invoices, tracking time spent on your case, managing retainers, and handling payment transactions.

Compliance & Records

Meeting our professional obligations under the Law Society rules, maintaining proper records, and complying with legal requirements.

Everything we do with your data is either to serve you better or to meet our legal and professional obligations. That's it.

This is the big one. As lawyers licensed in Ontario, we're bound by solicitor-client privilege - which is basically ironclad protection for anything you tell us.

Attorney-client privilege isn't just a nice-to-have - it's a fundamental principle of our legal system and a cornerstone of our practice. Here's what that means in practical terms:

  • Whatever you share with us in confidence stays confidential unless you explicitly authorize us to disclose it.
  • We can't be forced to reveal your communications or information (with very rare exceptions like preventing serious harm).
  • This protection extends to our staff, associates, and anyone working on your file.
  • Even after our representation ends, these protections continue indefinitely.
  • We maintain strict internal protocols to ensure privileged information is properly secured and segregated.

Bottom line: you can be completely candid with us. We've spent years building systems and practices to protect client confidentiality because it's literally our most important professional duty.

We're pretty protective of your information, but there are a few situations where we might need to share it:

With Your Permission

When you authorize us to share information with opposing counsel, business partners, regulators, or other third parties as part of your legal matter.

Service Providers We Trust

We work with carefully vetted third parties who help us serve you better:

  • Cloud storage providers (with encryption and security agreements in place)
  • Payment processors for billing and transactions
  • Expert witnesses or consultants on specific aspects of your case
  • Court reporters, process servers, and other legal support services

These folks are bound by confidentiality agreements and only get access to what they absolutely need.

Legal Obligations

Sometimes the law requires disclosure - like responding to valid court orders, regulatory investigations, or preventing imminent harm. We'll resist inappropriate demands and notify you when legally permitted.

Business Transfers

If our practice is acquired or merged, your files would transfer to the successor firm under the same confidentiality obligations. We'd give you notice if this ever happened.

What we DON'T do: Sell your data, share it for marketing purposes, or disclose it to anyone who doesn't have a legitimate need related to your legal representation.

We take security seriously - probably more than most because we're dealing with sensitive corporate information, IP assets, and confidential business strategies. Here's what we've got in place:

Network Security
  • Encrypted connections (TLS/SSL)
  • Firewalls and intrusion detection
  • Regular security audits
  • Secure VPN for remote access
Data Protection
  • Encryption at rest and in transit
  • Secure backup systems
  • Access controls and authentication
  • Regular data integrity checks
Access Management
  • Multi-factor authentication
  • Role-based permissions
  • Activity logging and monitoring
  • Regular access reviews
Physical Security
  • Secure office access controls
  • Locked file storage
  • Visitor logging and escorts
  • Clean desk policies

Our team receives regular security training, and we stay current on emerging threats. But let's be real - no system is 100% breach-proof. If something ever happened, we'd notify affected clients promptly and take immediate steps to contain and remedy the situation.

Your part: Use strong passwords, don't share login credentials, and let us know immediately if you suspect any unauthorized access to your information.

Under Canadian privacy laws (PIPEDA and provincial equivalents), you've got some solid rights when it comes to your personal information:

Right to Access

You can request a copy of the personal information we hold about you. We'll provide it within a reasonable timeframe (usually 30 days).

Right to Correction

If any information we have is inaccurate or outdated, let us know and we'll fix it. Keeping accurate records is important to us too.

Right to Withdraw Consent

You can withdraw consent for certain uses of your information, though this might limit our ability to provide services. We'll explain the implications.

Right to Question

You can challenge our compliance with privacy laws. We'll investigate and respond to your concerns promptly.

Right to Portability

In certain circumstances, you can request your information in a portable format to transfer to another service provider.

Important Note: Some rights have limitations when it comes to legal files. We're required to maintain complete and accurate records of our legal work, so we can't simply delete information that's part of your legal matter or required for regulatory compliance. But we're happy to discuss your specific concerns.

To exercise any of these rights, just reach out to us at counsel@pyrelithenclave.info or call (416) 555-0847. We'll walk you through the process.

Like most websites nowadays, we use cookies and similar tracking tech. But we're not doing anything creepy with it - just trying to make the site work better and understand how people use it.

What We Use:
  • Essential Cookies: These are necessary for the website to function - like keeping you logged into our client portal. Can't really turn these off without breaking stuff.
  • Analytics Cookies: Help us understand which pages are useful, where people get confused, and how to improve the site. We use aggregated, anonymized data.
  • Preference Cookies: Remember your settings and preferences so you don't have to set them every time you visit.
What We DON'T Use:
  • Advertising cookies or third-party ad networks
  • Social media tracking pixels (unless you explicitly interact with embedded content)
  • Cross-site tracking or behavioral profiling

Your Browser Settings: You can control cookies through your browser settings. Most browsers let you block or delete cookies, though this might affect how the site works for you.

We don't use cookies to identify you personally unless you're logged into our client portal - and in that case, it's just to keep you authenticated and secure.

We're based in Toronto, but the internet's a global thing. Here's the deal with international data transfers:

Some of our service providers (like cloud storage and software platforms) may store or process data on servers located outside Canada, including in the United States. When this happens:

  • We only work with providers that maintain strong security standards and privacy protections
  • We use contractual safeguards to ensure your data is protected according to Canadian privacy standards
  • We encrypt sensitive data before it leaves Canadian soil
  • We stay informed about the privacy laws and government access requirements in those jurisdictions

For Our Corporate & IP Clients:

If you're particularly concerned about where your data is stored (especially for sensitive IP or confidential business info), let us know. We can arrange for Canada-only storage solutions for your files, though it might come with additional costs and some limitations on collaboration tools.

We're transparent about this because we know data sovereignty matters, especially for corporate clients dealing with proprietary information.

Laws change, technology evolves, and our practices adapt. We might need to update this privacy policy from time to time.

When we make changes:

  • We'll update the "Last Updated" date at the top of this page
  • For minor tweaks (like clarifying language or fixing typos), we'll just post the updated version
  • For significant changes that affect how we handle your information, we'll notify active clients directly via email
  • We'll maintain a version history at the bottom of this page so you can see what changed

We'd recommend checking back here occasionally, especially if you haven't worked with us in a while. If you've got questions about any changes, just reach out - we're happy to explain what changed and why.

Your continued use of our services after changes are posted means you're cool with the updated policy. If you're not okay with changes, let's talk about it.
